IRC announces a job opportunity in Libya to work as a logistics assistant under the supervision of the supply chain manager based in Tripoli. The logistics assistant is responsible for supporting the delivery of efficient and effective administrative and logistics support to IRC office in Tripoli.

Eligibility:

You must have:

  1. Interest in humanitarian and refugee issues.
  2. University or bachelor degree.
  3. At least 1 year experience in similar position, preferably with an INGO, or multi-sector humanitarian relief or development projects.
  4. Knowledge of generic admin and logistics practices.
  5. Fluency in Arabic and ability to communicate clearly and effectively in English. 
  6. INGO experience which is preferred.
  7. Be self-motivated, honest, highly responsible, and punctual.
  8. Strong sense of personal integrity.
  9. Attention to detail.
  10. Ability to multi-task.
  11. Team spirit and problem solving abilities.
  12. Positive attitude.
  13. Good communication skills.
  14. Committed team player.
  15. Excellent time management skills and resourcefulness.
  16. The position will be based in Tripoli with the chance to travel to the field sites when required.

Your Responsibilities:

You will be responsible of:

  • Facilitation of workshops, training including hotel bookings and reservations.
  • Assist supply chain with  processing of UNHAS and commercial flight bookings.
  • Ensure that approved / filled travel request forms (TRFs) are received, seats booked accordingly and communicated to concerned travelers / field coordinators/ supervisors the same day via email.
  • Facilitation of airport pick-ups and drop-offs.
  • Process the payments for domestic and international travels with finance team by COB every Thursday. 
  • Ensuring that duplicate copies of payment requests, TAFs, tickets are maintained for record purposes.
  • Ensure proper tracking of all commercial and UNHAS flight bookings and share an updated tracker with supply chain manager and supply chain coordinator on weekly basis.
  • Processing / filing of travel related payments.
  • Collection of quotes and coordination with travel agents for travelers.
  • Arrangement of hotel bookings and reservations for national and international staff to Tripoli after receipt of travel request forms.
  • Ensure that all hotel bookings are made in writing and copies of booking and accompanying TRFs are available in admin office for record/tracking purposes.
  • Supervise facilities and office based support staff (cleaners and cook) and ensure that they are given regular feedback on any service improvements.
  • Complete Performance Management Evaluation (PME) for cleaners/cooks.
  • Management and maintenance of facilities, primary responsibility for maintenance and repairs include (timely repairs, supervision of maintenance workers, equipping of facilities, monitoring of cleaning services, maintenance of keys, locks, master keys, reporting on administrative issues, supplies/equipment for office and residences, tracking of properties & lease agreements, facilities/property management.
  • Processing and reconciliation of admin-related payments.
  • Any other tasks as requested by the direct line manager.
