The International Rescue Committee (IRC) is looking for a qualified Grants Coordinator to join the team and work in California, USA for 2020. 

Major Responsibilities: 

Business Development & Prospecting:

  1. Support opportunity identification. Perform monitoring, research and analysis into donor strategies and maintain database of information and key dates.
  2. Work closely with Development Manager on crafting and implementing a prospecting strategy, serving as the lead.
  3. Help to manage responses to business development opportunities, including coordination of inputs.

Pre-Award:

  1. Coordinate the proposal development as well as submission process, and maintain an efficient process for proposal development. 
  2. Gather proposal attachments to include in submission packets.
  3. Write key proposal sections.
  4. Edit and incorporate the input of other team members into the proposals.
  5. Work with DDP and Senior Finance Manager to ensure proposals are tracked with standard IRC tracking tools.
  6. Coordinate proposal and project/program revisions.
  7. Deliver quality products against a tight schedule. 
  8. Be involved in program design workshops.
  9. Develop and manage the office’s proposal calendar.

Post-Award:

  1. Coordinate agreement/contract execution for all awards.
  2. Schedule and send invitations for grant opening, review, and closing meetings for grants in San Diego.
  3. Coordinate and co-facilitate grant meetings. 
  4. Develop and ensure the effective maintenance of contract and grant files for each funded program with consistent documentation standards.
  5. Create “compliance summary” for all new awards.
  6. Collaborate with HQ-based Post Award Officer to request T1 for all new awards.
  7. Maintain comprehensive and accurate reporting database.
  8. Review and edit reports as assigned, and document report submission. 

Sub-awards:

  1. Co-lead IRC’s sub-award processes, following IRC’s Partnership Excellence for Equality and Results System.
  2. Request ATC checks as needed.
  3. Prepare paperwork shared with potential and current partners on what to expect with PEERS.

Compliance:

  1. Maintain a broad and deep understanding of donor policies, regulations, and procedures.
  2. Assist Program Managers with understanding the reporting and other compliance requirements on their grants.

Institutional Memory:

  1. Track donor correspondence.
  2. Track the submission of proposals and maintain file copies.
  3. Track the submission of reports and maintain file copies.
  4. Keep a database of key donor contacts.

Job Requirements: 

  1. Undergraduate degree in journalism, English or a related field. Certification or continuing education in grant writing, proposal development and/or fundraising a strong plus.
  2. A minimum of 2 years’ professional experience in grant-writing.
  3. Project management experience/certification a plus.
  4. Excellent writing, research, and organizational skills.
  5. Familiarity with the San Diego non-profit/philanthropy environment a plus.
  6. Ability to work autonomously in scheduling and prioritizing within tight deadlines and passionate about the work product.
  7. Self-directed but with strong interpersonal skills and the ability to work well within a team.
  8. Proficiency in Microsoft Office applications: Word, Excel, Outlook.
  9. Proficiency in written and spoken English.
