Agility Logistics Parks is looking for a qualified and talented Document Control Executive to join the team for a full-time job in Sulaibiya, Al Jahra Governorate in Kuwait for 2019-2020. Your Responsibilities:

  1. Responsible for the control of numbering, filing, sorting and retrieval of electronically stored or hard copy documentation produced by technical teams, projects, or departments in a timely, accurate and efficient manner.
  2. Control documents related to quotations, contracts, variation order, and drawings for all projects in Kuwait, UAE, Bahrain, KSA, and Ghana.
  3. Keep final copy of signed contracts, signed variation orders, monthly progress meetings, final approved drawings (uploaded to the central archive), and as-built drawings.
  4. Keep track of important project documents for the construction project process line including design documents, tender documents and contracts, and construction documents.
  5. Create document log reports to track submissions, and keep documentation safe and backed up.
  6. Document soft copy and hard copy of all authority approvals including drawings.
  7. Update and track the consulting and contractor submittals log.
  8. Handle the internal distribution of documents to the stakeholders according to a pre-agreed matrix.
  9. Register the provided document for detail engineering or construction engineering project, including in-house generated document
  10. Convert paper documents to electronic format for archiving through the Document Management System, in accordance with approved filing structure.

Job requirements:

  1. Bachelor’s degree in business administration or related field; records management degree or certification an advantage
  2. Minimum 3 years’ experience in a similar role
  3. Knowledge of records management policies and procedures on documentation, retention, retrieval, destruction and disaster recovery
  4. Basic understanding of various engineering/contract documentation
  5. Computer proficiency – MS Office, database management, document imaging, e-filing
  6. Organization skills
  7. Attention to detail
  8. Communication and interpersonal skills
  9. Ability to maintain confidentiality of records and information
